Job Description Job Description Position Summary: Accountable
for first impressions and setting the right mood for teammates and
the public. Responsible for phone and postage systems. Accountable
for contributing to security by monitoring access of visitors.
Reports to: Systems Manager Department: Operations Team Position
Category: Non-Exempt Purpose Shared by All Positions : To build
cultures that drive customer and team member happiness, value,
wealth, and continued independence. PRINCIPAL RESPONSIBLITIES AND
DUTIES include the following. Other duties may be assigned. Opens
office building and performs open day procedure daily. Retrieves
material from exterior drop box twice daily. Answers incoming
calls, within two rings, positively, and warmly. Accurately directs
caller to the appropriate team member courteously and
professionally. Answers clients’ inquiries, as needed, or directs
the inquiry to the team member best able to answer, understanding
limitations of non-licensed position. Offers voicemail to callers,
or if caller rejects voicemail option takes and delivers accurate
phone messages, with call back numbers, area codes, and names
legibly written, and promptly relays messages to the proper team
member, or leaves personal voicemail to proper team member. Greets
incoming clients and visitors in a friendly and positive way.
Quickly notifies the team member being visited. Turns away
solicitors in a clear, but friendly way. Maintains awareness of
company personnel whereabouts. Provides general information about
the agency and is an ambassador of goodwill for the firm. Maintains
a neat and tidy reception area, replaces magazines as received,
clears clutter on an ongoing basis, and maintains a professional,
welcoming, and comfortable general office atmosphere. Offers coffee
or other refreshments to visitors who are waiting to visit agency
team. Manages telephone system. Updates voice mail system as
needed. Updates speed dial list as requested by teammates. Accepts
deliveries and processes promptly. Opens, sorts, and distributes
mail neatly and accurately to team members according to mail
distribution workforce. Supervises postage machine use and
maximizes postage dollars. Performs postage machine maintenance.
Performs daily close day procedure. Responsible for obtaining back
up when absent or unable to answer the phones. Attends and actively
participates in team meetings and contributes agenda items when

Language Skills - Ability to read and comprehend simple

able to construct complete sentences using proper grammar,

multiply, and divide in all units of measure, using whole numbers,
common fractions, and decimals. Ability to compute rate, ratio, and
percent and to draw and interpret bar graphs. Ability to calculate
figures and amounts such as discounts, interest, commissions,
proportions, percentages, area, circumference, and volume. Ability
to apply concepts of basic algebra and geometry. Reasoning Ability
- Ability to apply common sense understanding to carry out
instructions furnished in written, oral, diagram, or schedule form.
Ability to deal with problems involving several concrete variables
in standardized situations. Ability to solve practical problems and
deal with a variety of concrete variables in situations where only
limited standardization exists. Physical Demands - The physical
